When the grants office is two people sharing a kettle, culture is just a handful of repeated habits. You do not need a forty-page manual. You need rituals that survive busy weeks.

Fifteen-minute Friday exception review

Open the grant expenditure audit app queue — or your shared list — and clear owners for anything older than seven days. The meeting ends when owners are named, not when every issue is solved.

Write the “why” while it is fresh

Unusual transactions make sense on the day they happen and look suspicious six months later. A two-sentence note in the attachment field beats reconstructing memory under inspection lights.

Rotate the sample picker

If the same person always chooses sample lines, bias creeps in. Alternate who runs the random draw. It is a small fairness practice that also trains backup capacity.
