Common gaps we still see in grant reporting
After dozens of practice packs, certain gaps appear with dull regularity. None are exotic. All are fixable if you look for them before the funder does.
Undated delivery photographs
A photo of a refurbished hall is helpful only if the metadata or a caption ties it to the funded period. Teach project officers to stamp dates in the caption field the day they shoot.
Silent journal transfers
Internal transfers that move cost between codes without a narrative become mystery lines in the grant expenditure audit app. Require a one-line reason at posting time.
Match funding asserted, not evidenced
Statements that “partners contributed 40%” need bank trails or signed in-kind valuations. Cohorts consistently under-document in-kind time until module four forces the issue.
Sample bias toward neat invoices
Reviewers often pick clean supplier invoices and skip messy volunteer costs. That comfort sampling leaves the riskiest area untouched. Stratify deliberately.
