Evidence packs auditors actually open
Auditors are not impressed by volume. They are relieved by navigation. An evidence pack that opens with a one-page index — line ID, document name, what it proves — earns goodwill before anyone reads an invoice.
Name files like a stranger will read them
Include the claim period, supplier, and amount in the filename when possible. Avoid personal shorthand. If you use the grant expenditure audit app, mirror the attachment labels you set there so the zip export and the app view agree.
Separate proof of spend from proof of delivery
Bank statements show money moved. Delivery notes, registers, or photos show activity happened. Mixing them in one undifferentiated heap forces reviewers to reconstruct your logic.
Version once, then freeze
Pick a freeze date before submission. After that, new documents go into a clearly marked addendum rather than silently replacing files. Cohorts practise this discipline because it prevents the classic “which pack did they review?” argument.
